What you should know
Migration sequence and the usual pitfalls
A migration does not start with the first mailbox but with an inventory: which applications depend on the local directory service, what sits on network drives, which processes run through public folders or old Access databases. The most common mistake is a 1:1 copy. Folder structures grown over years run into SharePoint's 400-character path limit, and permissions that accumulated on file servers get carried along instead of being reorganised. When moving virtual servers to Azure, plain lift-and-shift without rightsizing costs money permanently, because oversized machines show up in the monthly bill. Two further classics: multi-factor authentication and conditional access are introduced only after the switch, and the DNS TTL is not lowered before the cutover, which leaves mail routing unclean for hours. A test migration with a pilot group exposes both beforehand.
Data location, the processing agreement, and what it does not cover
Microsoft operates Azure regions in Germany, Frankfurt among them. With Microsoft 365, by contrast, core data is stored according to the tenant region; finer control requires paid add-ons such as Advanced Data Residency or Multi-Geo. More important than the server location is the contractual basis: at Microsoft, the data processing agreement under Art. 28 GDPR is the Data Protection Addendum. It does not count as settled simply because a subscription was signed — it belongs on record. On top of that come the entry in the record of processing activities, a description of the technical and organisational measures, and the question of which telemetry and support access reaches third countries. The EU Data Boundary limits this for customer data; for the transfers that remain, the EU-US Data Privacy Framework is the legal basis.
Choosing licence models — and being tied to them
The Business plans Basic, Standard and Premium are capped at 300 users. Anyone growing beyond that has to move to the Enterprise plans, which means planning effort and usually a higher cost per user. Through the partner channel, one hard rule has applied since the New Commerce Experience was introduced: after ordering there are 72 hours to cancel licences or reduce the quantity, after which the number is fixed for the entire term. Monthly terms are more flexible but noticeably more expensive than an annual commitment. The practical consequence: count the actual need properly before buying, and license seasonal and project staff monthly on purpose. Business Premium includes device management and extended identity features; anyone who needs those building blocks anyway often comes out cheaper than with Standard plus individual add-ons. In Azure, reservations and the Hybrid Benefit are the biggest levers for savings, but they tie you in for one to three years.
Backup remains your responsibility
Microsoft secures the platform, not your content. That is the shared responsibility model, and it is written into the terms. What the platform offers is retention periods, not backups: in Exchange Online, recoverable items are kept for 14 days by default and can be configured up to 30. The recycle bins in SharePoint and OneDrive hold items for 93 days in total, and a deleted user account can be reactivated for 30 days. After that the data is gone for good. An employee who empties folders before leaving, or ransomware that encrypts files through a sync client, falls exactly into that gap. A separate backup with its own retention and separate credentials makes sense, complemented by retention policies for legally relevant mailboxes. And test a real restore at least once a year: a backup that has never been restored is an assumption, not protection.

Frequently asked questions
The questions we are asked most often before a project – with answers on process, costs and data protection.
What are the benefits of cloud solutions for businesses?
Cloud solutions offer: location-independent working, automatic backups, high scalability, lower IT costs (no dedicated server needed), automatic updates and enterprise security from Microsoft or Google — all GDPR-compliant with German data centers.
How does a cloud migration work?
A cloud migration is carried out in phases: 1) analysis of your current IT, 2) migration planning with a schedule, 3) test migration, 4) gradual live migration, 5) employee training. This approach keeps disruption to ongoing operations as low as possible.
Is my data safe in the cloud?
Yes, cloud providers such as Microsoft Azure offer enterprise security: encryption, multi-factor authentication, geo-redundancy and compliance certifications (ISO 27001, SOC 2). Data centers in Germany let you meet the GDPR requirements on where processing takes place; full GDPR compliance additionally depends on your own processes, contracts and deletion concepts.
